Managing Billing: Seats, Passes, Payment, Invoices, Cancelling

How organization admins use Settings › Billing to change seats, add a pass, manage payment methods and the billing address, read invoices, and cancel a subscription.

Settings › Billing is where an organization admin manages the organization's subscription. Only organization admins can see it. Payments are processed by Stripe.

What the Page Shows

  • The plan card, titled BackOps Pro, with a Trial badge during a trial and the passes you hold.
  • Next bill, with its date. Expand it to see each line: licenses, overage, discounts, and tax.
  • Seats, used against total and how many are open, with the organization members who hold them. Held seats and people outside your organization count but are not listed by name. Assign in Members takes you to Members.
  • Usage rows for AI credits and storage. See usage allowances.
  • Billing details, with your payment methods and billing address.
  • Invoices.

Change Your Seat Count

Use the seat stepper on a license and select Update seats. Before you confirm, BackOps previews the cost: the prorated amount charged today and the new monthly total. You cannot go below the number of seats in use; free a seat in Members first. Increasing seats records the terms you agreed to.

Add a Pass

Select Add product, choose Event Pass or Org Pass, set the number of seats, and review the payment summary: what is due today and the monthly amount from your next billing date. Select Confirm. You need a payment method on file first. Add product is not available during a trial, while the subscription is being cancelled, or on a license with custom pricing.

Payment Methods and Billing Address

Under Billing details, add a card or a bank account. A new bank account shows as verifying until its deposits arrive. Make any method the default; the default method cannot be removed until another one is the default.

Where configured, paying by bank account gives a discount when you have more than five licensed seats.

Edit the billing address with Billing email, Address, Country, City, ZIP code, and State, then Save address. Every field is required.

Invoices

The Invoices list shows each invoice's date, reference, status, and amount, with a PDF download. During a trial there are none yet.

Cancel a Subscription

Select Cancel subscription at the bottom of the Billing page and confirm with Cancel subscription. This cancels BackOps Pro and with it the whole subscription. Access continues until the end of the period you have paid for, and there is no refund. You can resume any time before the period ends. A single pass cannot be cancelled on its own in the app; contact BackOps.

Custom-Priced Licenses

Some organizations hold licenses arranged with BackOps. A license with custom pricing shows Custom pricing. Contact us to change., and its seats, Add product, and cancelling are handled by BackOps. A license marked Invoiced locks only its own seat count. Contact BackOps to change either.
