Locations: Track Venues, Warehouses, and Offices

How to add locations, set their type and details, point events at a location, assign crew, and use a location's Events, Crew, Schedule, and Files tabs.

A location is a real place your organization works: an office, a warehouse, a studio, a venue you return to. Each location has a type and a set of details, and it opens to the events held there, the crew assigned to it, its schedule, and its files. Locations are managed by organization admins from Locations in the Records group of the sidebar.

Add a Location

Open Locations

In your organization's sidebar, select Locations.

Select Add location

Enter a Name, optionally pick a Type, and add a Description.

Fill in the details

Open the location. Its details panel shows the attributes of its type, grouped into the type's sections. Fill in what you know.

Change the name inline on the location page, and change the type with the Type selector there. Archived types are not offered. Text, link, and select values hold up to 500 characters. How types and their attributes are defined is covered in location types and attributes.

Point an Event at a Location

An event points at one location. Set it in the event's settings under Event location, or edit the Location column on the organization's events table. The location must belong to the same organization.

The event stores only the reference, never a copy of the location's details, so renaming a location updates every event that points at it. On the events table the Location column can be searched, sorted, grouped, and filtered, so you can list every event at one venue.

The Location Tabs

Events lists the organization's events at this location. Use Show archived events to include archived ones and Show task status to flag events that still have open tasks.

Crew lists the crew members assigned to the location. Select Add crew to assign someone from your crew database, or Remove to take them off.

Schedule shows the location's own org schedule together with your personal schedule. On org-level activities, use the Locations field to add the activity to a location's schedule. Event activities do not roll up here.

Files holds the location's files.

Delete a Location

Open the … menu on the location and select Delete, or select several on the Locations page and delete them together. Deleting removes the location from any org activities that used it and removes everyone's location permissions on it.
