Organization Tasks and the Event Task Roll-Up

How your organization tracks its own tasks outside events, and how the organization Tasks page rolls up every active event's tasks in one list with shared statuses.

The organization Tasks page answers two questions at once: what does the company itself have to do, and what is open across all of our events? It combines your organization's own tasks with a roll-up of the tasks on every active event.

Organization Tasks

Organization tasks are work that does not belong to a single event: renewing insurance, servicing the truck, onboarding a new hire. They work like event tasks, with a name, description, status, priority, start and due dates, subtasks, dependencies, and custom fields, and the same List, Calendar, Gantt, and Kanban views.

They differ in a few ways. Organization tasks are assigned to crew members and departments, not collaborators. They have no phases. Reviewers can be listed on them, but there is no review step or approval gate, and no comments.

Set up their statuses and custom fields under the organization's Settings > Project Management. Organization statuses use the same five states as event statuses: To Do, Active, In Review, Done, and Archived.

The Event Task Roll-Up

The same page lists the tasks of every event in the organization that is not archived. Each event task's status is shown as the organization status it is linked to. That link is set per event, on the event's task status settings, so ten events with ten sets of status names can still be read in one vocabulary. A status with no link is shown as an organization status in the same state.

Event tasks in the roll-up are edited on their event. Selecting one asks before taking you to that event's Tasks page.

Department Tasks

Each department page has a Tasks tab. It lists the department's organization tasks, plus the event tasks assigned to collaborators in that department, so a department lead sees their team's work across every event.

Organization tasks and event tasks are separate records shown together. An organization task cannot be moved into an event, or the other way around.
