Reviewing Resource Requests and Approvals

Review the resource requests collaborators submit through advances, and give Advance and Resource approval before they move on to translation and ordering.

A request is a line a collaborator adds to a request block in their advance: five golf carts, two handheld microphones, a 400 amp power drop. The Requests tab under Resourcing, Procurement lists every request on the event in one table, so you can review and approve them without opening each collaborator's advance. The Procurement pages are available to event admins.

Where Requests Come From

Requests start in a module template. A request block with Resource request? turned on asks the collaborator to pick from the resource types the block allows and fill in that type's attributes active on Procurement. A request block with it off, such as one for a credential or a pass, has no resource type. Resource requests are the ones you translate into needs. Other requests also appear on the Requests tab, with a dash in the Resource column.

Choose Which Approvals a Request Needs

Each request block has two settings in the module template builder, Advance approved? and Resource approved?, and each request inherits them.

  • Advance approval is the production side's decision: this request is approved from our end.
  • Resource approval is the supplier's confirmation: we can fulfill this.

Turn on neither, one, or both. A stage that is off does not appear on the request and does not hold it back.

Approve or Deny a Request

Open the Requests tab

In the event sidebar, open Resourcing, then Procurement, and select Requests.

Find the request

Search, filter or group the table. Columns are Request, Resource, Collaborator, Area, Activity, Advance and Resource. Expand a row, or select it to open the request with all of its answers.

Give Advance approval

In the Advance column, select the check to approve or the X to deny.

Give Resource approval

In the second Resource column, select the check or the X. When the request also needs Advance approval, these buttons appear only after Advance approval is given.

You can also approve requests from the collaborator's advance and from the Advance Manager. See reviewing and approvals for that side.

How Approvals Change

The two approvals depend on each other in a few ways worth knowing before you act:

  • Denying Advance approval sets Resource approval back to pending.
  • When a collaborator edits a request that has Advance approval, the approval goes back to pending so you can look again.
  • Once Resource approval is given, the request is locked. The collaborator can no longer edit it, and its Advance approval can no longer change.

A request moves on to the Translation tab once every approval it needs is given and it is not yet linked to a need. A denied request stays here.
