Order Status Reference for External and Internal Orders
Every order status in BackOps, which ones you declare and which are earned from quotes, invoices, payments or assignments, which can be reopened, and what each signal means.
An order's status is worked out from evidence, not typed in. You declare a floor, the furthest you know the order has got, and the order's quotes, invoices, payments or assignments can lift it higher. The status shown on the order and in the orders list is always the highest rung the evidence supports, never lower than the floor you declared.
External orders (sourced from a vendor) and internal orders (filled from your own crew and gear) follow different ladders. The order's Source decides which.
External order statuses
Listed from lowest to highest. Declared means you set it with a button; Earned means evidence sets it.
| Status | How it is reached | Kind |
|---|---|---|
| Draft | The starting floor. Nothing has been declared or received. | Declared |
| Sent | You marked the order sent and no quote has arrived yet. | Declared |
| Quoted | At least one vendor quote is on the order. | Earned |
| Awarded | You chose one of the quotes. The vendor may not know yet. | Earned |
| Confirmed | A vendor invoice is on the order, or you marked the order confirmed. | Declared or earned |
| Paid | Payments recorded on the order cover the expected total, and that total is more than zero. | Earned |
| Abandoned | You walked away before committing. Overrides everything else. | Declared |
| Canceled | You canceled the order. Overrides everything else. | Declared |
Rungs are checked independently and the highest one that holds wins, so an order can skip rungs. An order marked confirmed by phone goes straight from Draft to Confirmed, and a reimbursement order with no documents can go from Draft to Paid.
What Paid is measured against. The expected total is taken from the first of these that exists:
- The total of the order's invoices.
- The total of the chosen quote.
- The total of the order's own lines. When the order has been sent, this is the line total of the latest sent revision, not the live order.
If none of these exists, or the expected total is zero, the order cannot reach Paid. Payments always count in full, whichever revision they were made against.
Internal order statuses
| Status | How it is reached | Kind |
|---|---|---|
| Draft | The starting floor. | Declared |
| Ordered | You marked the order ordered. | Declared |
| Assigned | At least one person or unit is assigned against the order's fulfillment. | Earned |
| Fulfilled | Every assignment is closed out and at least one was completed. | Earned |
| Canceled | You canceled the order. Overrides everything else. | Declared |
Internal orders have no Sent, Quoted, Awarded, Confirmed, Paid or Abandoned. Assignments are recorded from the order's Fulfillment tab; see Fulfillment.
Declaring a status
The status row under the order's name shows the status badge, an information icon that explains why the order is at that status, and buttons for the moves available from where it stands: Mark as sent, Mark as confirmed, Mark as ordered (internal) and Return to draft. Abandon order and Cancel order are in the order's actions menu, next to Delete order.
The declared moves allowed from each floor:
| From | External can move to | Internal can move to |
|---|---|---|
| Draft | Sent, Confirmed, Abandoned, Canceled | Ordered, Canceled |
| Sent | Draft, Confirmed, Abandoned, Canceled | Not used |
| Confirmed | Draft, Sent, Abandoned, Canceled | Not used |
| Ordered | Not used | Draft, Canceled |
Marking an order sent, confirmed or ordered also marks its unsent revision as sent, and it locks the order's vendor-facing content. See sending and revising orders.
Reopening an abandoned or canceled order
Abandoned and Canceled can both be undone with Reopen order, from the status row or the actions menu. Abandoning or canceling destroys nothing; it only masks the evidence. Reopening an external order puts its floor back at Sent if it has any quotes, invoices or payments, and at Draft if it has none, and the status then rises to whatever the evidence supports. Reopening an internal order puts it back at Draft.
Signals
Signals are badges under the status that point at missing paperwork or money that does not add up. They are advisory: none of them blocks anything. Select one to jump to the tab where you can deal with it.
| Signal | Shows when |
|---|---|
| Awaiting quotes | The order is declared Sent and has no quote. |
| No invoice attached | The order reached Paid without an invoice. |
| Partially paid | Payments are above zero but below the expected total. |
| Overpaid | Payments exceed the expected total. |
| Nothing to pay against | There is no expected total, or it is zero, so the order cannot reach Paid. |
| Possible duplicate expense | A planned expense line and a linked expense on the order carry the same amount. |
| Nothing assigned yet | An internal order is marked ordered but nobody is assigned. |
| Partially fulfilled | Some assignments are completed and some are still open. |
| Nothing delivered | Every assignment closed out as a no-show or a release, and none was completed. |
| No fulfillment record | Nothing has been received or tracked against the internal order yet. |
How status affects coverage
External orders hold units against their needs, and the order's status sets how those units count toward coverage:
| Order status | Units count as |
|---|---|
| Draft | Tentative |
| Sent, Quoted, Awarded | Awaiting |
| Confirmed, Paid | Secured |
| Abandoned, Canceled | Released, so the need shows open again |
Internal orders hold no units of their own. Their needs are covered by the people and gear you assign.
