Sharing a file or folder with people outside BackOps

Create a named sharing link to a Drive file or folder so people without a BackOps account can view and download it, and remove the link when access should end.

A sharing link lets someone outside BackOps open a file or folder without an account: an engineer checking a drawing, a venue collecting insurance certificates, a vendor picking up a run sheet. Anyone with the URL can view and download what it points to.

Open the share dialog

On the file or folder, choose Share.

Create the link

Under Links, click New link and give it a name that says who or what it is for, such as "Venue engineer".

Send it

Click Create and copy, then paste the link wherever you need it. Copy link copies it again later.

Creating a link needs Admin on the file or folder. A link to a folder shows its files and subfolders, and each file opens with its versions and formats available to download. Download addresses are temporary, so recipients should open the link again rather than saving a download address.

A sharing link is view access, shown as View on the link: people can browse, preview and download, and nothing more. They cannot comment, review, upload or change anything. Anyone who needs to do those should be added to the event as crew and given access through sharing.

A file or folder can have several links, each with its own name, so you can give each recipient their own and end one without affecting the others.

Ending Access

Each link in the Links list has a menu to edit its name or delete it. Deleting a link is permanent: anyone who opens it afterwards sees that it is not found, and the same URL cannot be restored. To give access again, create a new link. Links have no expiry date, so delete them when they are no longer needed.
