The Events Table

Use your organization's events table to find every event, filter and save views, see intake and task status, edit details inline, and archive or delete events.

The events table is the Events page of your organization: every event your organization runs, in one list. It is where you see the whole season at a glance, find a job, resume a draft, and jump into any event. Because it shows each event's type, attributes, and roles side by side, it also works as a live report on what is set up and what is still missing.

What the table shows

Each row is one event. The columns are:

  • Event: the event's name. Select it to open the event.
  • Intake: Needs intake for a draft or an event whose intake is still outstanding, or an Intake badge you can hover to preview the answers.
  • Type, Location, and Status (Draft or Active).
  • My Collaborator: the collaborator you belong to on that event.
  • One column for each of your organization's event attributes and roles, such as Ship date or Project manager.
  • Detail tasks: the overall state of the event's tracked attribute and role tasks, the same state the task board shows for them.

Status and Detail tasks are hidden at first; turn them on from the table's column settings. Besides the table, you can switch to a Calendar or Gantt view of the same events.

Filter and save views

Use Search events... to find an event by name, and the filter controls to narrow the list by type, location, attribute values, and more. The way you set up the table, including filters, columns, and sort, can be saved as a view, so a project manager can keep a "My upcoming productions" view and an operations lead a "Rentals shipping this month" view.

The table's view settings add three switches, all off by default:

  • Show archived events brings archived events back into the list.
  • Show task status shows the status of the tasks behind tracked attributes and roles, so you can filter on what is still to do or in review.
  • Show Flex elements lists the child elements of events linked to Flex. It only appears when your organization has connected Flex.

Edit details from the table

Organization admins can edit an active event's location, attribute values, and role occupants right in the table cells, without opening each event. This is the fastest way to fill in the same detail across many jobs. Archived events are read-only.

Row and bulk actions

Hover over an event's name to see its actions:

  • The Manage permissions button (organization admins) opens the Event permissions dialog, covered in Managing Access.
  • The ... menu offers Archive, Unarchive for an archived event, or Discard draft for a draft, and Delete (not offered on a draft). These actions are carried out for organization admins.

Select several rows to act on them together. The bar that appears offers Archive and Delete, which are carried out for organization admins. See Archiving, Restoring, and Deleting Events.

Selecting a draft reopens the create-event wizard where it left off. Selecting an archived event offers to unarchive it.

Add and import events

Add event opens the create-event wizard, covered in Creating an Event. Organization admins can also bring events in from a spreadsheet with Import events, in the menu beside Add event. Imported events arrive as drafts.

The ... menu next to the page title holds the Events page Settings and a Notify me about new events switch.
