Setting Up an Event Type in Organization Settings
Create an event type, organize it into sections, place attributes and roles, set the Required, Tracked, and Review flags, and duplicate or archive types.
An event type defines a kind of job your organization runs: which fields an event of that kind captures, which people it needs, and how its details are tracked. Event types are set up by an organization admin in organization settings, under Events. This page covers creating a type, building its sections, and managing types over time.
The Events settings page has three tabs. Types lists your event types. Attributes and Roles hold the shared libraries that types draw from. You can build those libraries first, or create attributes and roles as you go from inside the type editor.
Create an event type
Open the Events settings
Add a type
Name it and pick an icon and color
In the Event type dialog, enter a name, such as Full production or Rental, and choose an icon and a color. The icon and color are how your team recognizes the type when they pick one for an event.
Save
To rename a type or change its icon or color later, edit the name at the top of the type editor, or select the icon beside it. Changes save as you make them.
The type editor has three tabs. Details holds the type's base template and its sections, and is covered on this page. Intake form holds the questions asked when an event of this type is created, covered in Intake Forms. Effects holds the type's automated rules, covered in Effects. The base template is covered in Base Templates.
Organize the type into sections
A section is a named group of related attributes and roles. Sections are why an event's profile reads as an organized set of groups instead of one long list, and the order you set here is the order your team sees on the event.
Group by what the data is about. For example:
- Staff: every role the event needs filled
- Venue details: the venue, its address, access notes
- Attire: load-in attire and show attire
- Dates and times: ship date, load-in, start, end, load-out, and return
To add a section, select Add section, type its name, and press Enter. To rename a section, select its name and type over it. To reorder sections, drag a section by its header, or open the section's menu and choose Move up or Move down. Use the expand and collapse button beside Add section to open or close every section at once.
To remove a section, open its menu and choose Remove section. If the section holds any tracked items, a Remove section? confirmation appears first, because removing it deletes their tracking tasks across every event of this type.
Place attributes and roles in a section
Attributes and roles are placed into sections from the organization's libraries. A placed attribute or role sits in one section of the type, and attributes and roles share a single order within that section.
Open the add menu
Pick from the libraries
Search across both libraries, which are grouped under Attributes and Roles. Select as many items as you need, then select the Add button, which shows how many you picked, to place them all at once.
Create one if it does not exist yet
If what you need is not in a library, choose Create new attribute or Create new role. The new item is added to the library and placed in this section in one step.
Each attribute or role can be placed only once on a type, so it no longer appears in the picker after it is placed. The same attribute or role can still be placed on as many different types as need it.
To rearrange placed items, drag them within a section or into another section, or open an item's menu and choose Move up, Move down, or Move to section. Moving an item keeps its Required, Tracked, and Review settings. To take an item off the type, choose Remove from its menu. Removal is refused while another item on the type depends on it, such as a due date counted from that attribute or a default assignee set to that role. Clear those settings first, then remove it.
For help choosing between a person attribute and a role, see Event Roles.
Required, Tracked, and Review
Every placed attribute and role has three checkboxes, labeled at the top of the section as Required, Tracked, and Review. They decide how that item behaves on every event of this type.
Required marks the item as something the event must have. A required attribute or role must be filled before an event of this type can be created, and on the event's profile, required items are marked and count toward the section's progress.
Tracked turns the item into a task until it is filled, so the gap shows up in the team's work instead of depending on someone remembering to chase it. Turning on Tracked also enables the Due and Assignee columns for that item, where you set a default due date and a default assignee. Turning Tracked off clears both.
Review means a change to the item must be reviewed before it counts as done. Use it for details where a change affects someone else's work. For example, a changed ship date matters to operations, so the operations lead reviews it and confirms the shop can prep in time. Review is only available when Tracked is on, and turning Tracked off clears Review.
Each change saves on its own as you make it. Changes apply to events that already use this type, not only to new ones, and an individual event can override them when one job needs something different. Default due dates and assignees are covered in Tracking Defaults.
Duplicate a type
Duplicating is the quickest way to build a type that is close to one you already have, such as a Dry rental based on Rental. On the Types tab, open the type's row menu and choose Duplicate. A new type named Copy of followed by the original's name is created, and its editor opens.
The copy includes the original's sections and the attributes and roles placed in them, each item's Required, Tracked, and Review settings, default due dates, default assignees, template input mappings, and effects.
A duplicated type currently uses the same intake form and base template as the original. Changes to that intake form or base template affect both types.
Delete, archive, and restore a type
To remove a type, open its row menu on the Types tab and choose Delete. What happens depends on whether any event uses it:
- If any event has this type, it is archived instead of deleted. Its events keep their type and their tracking tasks, but the type can no longer be given to an event.
- If no event uses it, it is deleted, along with any tracking tasks it created.
Archived types are hidden until you turn on Show archived, where they carry an Archived badge. To bring one back, choose Restore from its row menu, or select Restore at the top of its editor.
