Event Attributes: Building the Attribute Library
Create the event attributes your event types use, choose the right field type, manage Select options, and limit which crew or collaborators can be picked.
An event attribute is a typed field that describes the whole event, such as its ship date, its dress code, its venue, or its client. Attributes live in an organization-wide attribute library, so an attribute you define once can be placed on every event type that needs it. An organization admin manages the library under Settings › Events › Attributes.
Attributes describe the event. Information you collect from each collaborator belongs in advancing instead, and the people an event needs filled in named parts are usually better modeled as event roles.
Create an attribute
Open the attribute library
Add an attribute
Name it and choose a type
Enter a Name, such as Ship date or Show attire, and choose a Type from the field types below. The type cannot be changed later.
Add options if the type needs them
For Select and Multi Select, add the choices people pick from. For a crew or collaborator type, you can optionally limit who can be picked under Options.
Save
You can also create an attribute from inside the type editor while placing items in a section. Choose Create new attribute, and the new attribute is added to the library and placed in that section in one step.
Think across all of your event types when you create attributes. A Load-in date that every type needs only has to exist once in the library.
Field types
An attribute's type decides what it holds and which input your team uses to fill it in on the event. The type is fixed once the attribute is created, because the values stored on every event depend on it.
| Type | What it holds |
|---|---|
| Text | A single line of text |
| Rich Text | Formatted text with basic styling |
| Number | A numeric value |
| Date | A date without a time |
| DateTime | A date with a time |
| Checkbox | A yes or no toggle |
| Link | A URL |
| Select | One choice from a list of options you define |
| Multi Select | Several choices from a list of options you define |
| File | A single uploaded file |
| Multi File | Several uploaded files |
| Collaborator | One collaborator from your organization |
| Multi Collaborator | Several collaborators from your organization |
| Crew Member | One crew member from your organization |
| Multi Crew Member | Several crew members from your organization |
The four person types, Collaborator, Multi Collaborator, Crew Member, and Multi Crew Member, tag a person or company as responsible for, or connected to, the event. Tagging the venue, a collaborator, on an event is a typical use. If you also need the person labeled with a purpose on the event, or want filling them in to trigger actions such as assigning tasks or sending notifications, a role fits better. See how roles differ from attributes.
Manage Select and Multi Select options
Select and Multi Select attributes need at least two options. Each option has a value, a color, and an optional icon, so choices are easy to tell apart on the event.
To change the options, open the attribute from the Attributes tab. You can add options, rename or recolor existing ones, and remove the ones you no longer need. Renaming an option changes it on every event that uses it.
Removing an option that any event has selected archives it instead of deleting it, so those events keep their value. Archived options are listed under Archived options when you open the attribute, and each one has a restore button to bring it back.
Limit who can be picked
For the four person types, the Options field controls which crew members or collaborators appear when someone fills in the attribute on an event. By default it shows All crew or All collaborators, meaning the whole roster is offered.
To narrow it, select Options in the attribute dialog, choose the crew members or collaborators who should be offered, and go back to the form. Leave nothing selected to offer the whole roster again. For example, a Lead rigger attribute could offer only the crew members qualified to lead a rig.
Options shape the picker only. Changing them never removes a value that is already filled in on an event.
Rename, delete, and restore an attribute
Open an attribute from the Attributes tab to rename it. The new name appears everywhere the attribute is used. Its type cannot be changed.
To remove an attribute, open its row menu on the Attributes tab and choose Delete. If the attribute is placed on any event type, or any event has a value for it, it is archived instead of deleted, so no existing data is lost. An archived attribute is no longer offered when you place attributes on a type. If it is not used anywhere, it is deleted along with any tracking tasks it created.
Turn on Show archived to see archived attributes, then choose Restore from an archived attribute's row menu to bring it back.
