Sharing Documents
How to give collaborators and crew members access to a dynamic document.
Documents can be shared directly with collaborators and individual crew members from within the document editor. Sharing grants access within BackOps, and the recipient sees the document in their event view without any additional steps on their end.
Opening the Share Panel
Click the Share button in the top-right corner of the document editor to open the sharing interface. From here you can add new shares, adjust permissions on existing ones, and manage public links.
Sharing with a Collaborator
Sharing a document with a collaborator grants access to all of that collaborator's crew members at the specified permission level. This is the most common sharing pattern. Share once at the collaborator level, and everyone on that team gets access without individual invitations.
Open the Share panel
Click Share in the top-right corner of the document editor.
Add a collaborator
Select the collaborator you want to share with from the picker.
Set the permission level
Choose Read, Write, or Admin and confirm.
Sharing with a Crew Member
For cases where access should be limited to a specific person rather than their entire collaborator group, you can share directly with an individual crew member. The crew member gets the specified permission level independently of any share that exists on their collaborator.
Permission Levels
| Level | What it allows |

| Write | View and edit document content and variables |
| Admin | Full control: edit content, manage shares, manage public links |
Any user with the event-level Documents Edit permission has admin access to every document in the event, regardless of any document-level shares.
How Recipients Access Shared Documents
Where a shared document appears depends on how it was shared.
Crew members who have been granted access, either directly or through a collaborator share, see the document in the Dynamic Docs section of the event sidebar, alongside any other documents available to them.
When a collaborator is shared on a document, their collaborator page in BackOps includes a Dynamic Docs tab that lists all documents shared with that collaborator. This gives collaborators a single place to find documents relevant to them, separate from the broader event view.
Removing Access
Removing a share revokes access immediately. The collaborator or crew member will no longer see the document in their view.
