Departments: Roll Up Tasks and Schedules by Team
How to create departments, give event collaborators a department, and use a department's Tasks, Schedule, and Files tabs to see a team's work across events.
A department groups your organization's work by function. Once event collaborators are given a department, the department page shows that team's tasks and schedule across every active event, alongside the department's own org-level tasks, schedule, and files. Departments are managed by organization admins from Departments in the Records group of the sidebar.
Create a Department
Open Departments
Select Add department
To rename a department, select Edit in the row actions on the Departments page, or use the gear button in the department header.
Link Event Work to a Department
The connection between a department and event work is made on each event. Open the event's collaborator, and in its details set Department. From then on:
- Tasks assigned to that collaborator in the event appear on the department's Tasks tab.
- Activities that include crew from that collaborator appear on the department's Schedule tab.
Only active events roll up. Archived events drop out of the department's view.
The Department Tabs
Tasks shows two kinds of task together: org-level tasks assigned to the department, and event tasks rolled up from its collaborators. Add task creates an org-level task for the department; it appears once your organization has task statuses. Selecting an event task takes you to that event's tasks after a confirmation. Use Show completed tasks and Show archived tasks to widen the list.
Schedule combines the department's own org schedule, your personal schedule, and activities rolled up from events (time frames are left out). On org-level activities, a department can be chosen as an organizer, participant, or optional attendee.
Files holds the department's own files.
Delete a Department
Delete a department from its row actions or by selecting several and using bulk delete. Deleting cannot be undone. It removes the department from any org activities it was on and removes everyone's department permissions on it. Event collaborators that pointed at the department are not changed by the delete.
