Saving, Sharing and Managing Saved Views
How to save a data view layout as a tab, choose shared or private, set your default view, reorder tabs, and duplicate, rename or delete views.
A saved view is a named arrangement of a table, shown as a tab above it. It keeps the layout, filters, sorting, grouping, visible and pinned properties, column order and widths, calculations, charts and conditional colors, so "Crew without a call time" or "This week's deliveries on a timeline" is one click away instead of rebuilt each time. Search is not saved with a view.
Shared and Private Views
Every view is either shared or private, and you choose when you create it.
A shared view is visible to everyone who can see the table, whether that is an event or your organization, and anyone who can see it can change, reorder or delete it. A private view is visible only to you. Nobody else sees it in their tabs, and nobody else can open or change it.
The choice is permanent. To share a private view, or to keep a private copy of a shared one, duplicate it and pick the other option.
Create a View
Open the create dialog
Name it and pick a layout
Choose who sees it
Optionally make it the default
Arrange the new view with the toolbar, then select Save view. On Procurements, new views are always shared.
How the Tabs Are Arranged
The page's built-in tabs, such as Overview, come first. Your private views come next as a single tab between dividers, then the shared views, in an order anyone can change by dragging a tab. The arrow on that tab switches between your private views, and its menu offers Switch view and New private view. Private views are not reordered.
Default Views
A table can have one shared default and, for each person, one private default. When you open the table, your private default wins; without one, the shared default opens. Use Set as Default or Unset as Default in a tab's menu to change it. Setting a new default replaces the previous one in the same group.
Duplicate, Rename and Delete
Open the menu on the active tab:
- Customize View opens the view's settings.
- Duplicate copies the view with the name "(Copy)" added and lets you choose shared or private for the copy. This is how a private view becomes shared.
- Rename changes the name only.
- Delete removes the view for everyone who could see it. Deleting cannot be undone.
The menu opens only on the tab you are viewing, so select a tab first.
System Tabs
Some pages come with built-in tabs, such as an Overview on Procurements or the Coverage and Roster tabs in coverage. These are part of the page. They cannot be renamed, reordered, deleted or saved over, but you can create your own views beside them.
