Bulk Editing Many Records at Once in a Data View

How to select rows in a BackOps data view and change one field, archive or delete across every selected record, and which pages support it.

Bulk edit changes one field on many records in a single action. Reassigning forty tasks to a new owner, moving a whole crew department to a new call time, or archiving last season's events no longer means opening each record in turn.

Where Bulk Edit Is Available

Pages that support bulk edit show a selection checkbox at the start of each row.

LevelPages
EventTasks, Crew, Collaborators, a collaborator's Tasks, Areas, Expenses, and the coverage Roster
OrganizationEvents, the Crew database and a crew record's Roles, the Collaborator database, Inventory resources and offerings, Resource types, and, for admins, Departments and Locations

Change a Field on Many Records

Narrow the table

Filter or search so the records you want are easy to pick out. Select-all only selects the rows currently visible.

Select the rows

Tick each record, or the header checkbox to select every visible row. A floating bar appears showing how many are selected.

Pick the field

Select the field you want to change in the floating bar, such as an assignee or a status.

Set the new value

Choose the value. It is applied to every selected record.

Clear the selection from the floating bar, or press Escape.

Archive and Delete

Where a page offers them, the floating bar also has Archive and Delete. Delete is on most pages that support bulk edit. Archive is on the organization Events table and Inventory resources.

What to Know About Selection

Selection is explicit. Selecting a parent task does not select its subtasks; tick them as well if you want them changed.

A field is disabled in the floating bar when any selected record cannot take that change, with the note "Not editable for the current selection". Deselect the records that cannot be changed to enable it.

Some rows cannot be selected at all: tasks created by an advance, pending expenses, events marked for deletion, and archived resources or roles.

The selection belongs to the table you are on. It clears when you switch to another event or organization, and a record that a new filter hides is dropped from the selection.
