The Event Coverage Page, Columns and Stats Bar

What each column and number on an event's Coverage page means, from the coverage badge and Secured bar to Filled by, Orders, Assigned and Received.

The Coverage page lists every resource need on an event and shows how far each one is from being secured. Open it from the event sidebar under Resourcing, then Coverage. The page has two tabs: Coverage, described here, and Roster, where you assign and stamp people and units.

Coverage is worked out from the reservations on each need, never typed in. A reservation is one person or unit filling a slot on a need, or a held quantity of units not named yet. For the model behind the numbers, see the introduction to coverage.

The Stats Bar

The strip above both tabs totals the whole event in units, so a need for forty stagehands weighs forty times as much as a need for one truck.

StatWhat it counts
SecuredSecured units over units needed, for example 31/48.
AwaitingUnits where someone has been asked and owes an answer.
TentativeUnits with a name penciled in but not confirmed.
OpenUnits nobody is assigned to. Counted need by need, so extra units on one need never hide a shortfall on another.
FulfilledThe cost of what was actually fulfilled on the event. Shows Not tracked while nothing has been recorded.

Secured, Awaiting, Tentative and Open add up to the units needed, except where a need has more units on it than it asked for.

Procurement Rows

The table groups needs by the procurement they belong to. Each procurement row is a roll-up of the needs inside it; expand it to see them.

ColumnWhat it shows
ProcurementThe procurement's name. Searching also matches the resource types inside it.
OpenHow many needs are not yet covered ("3 of 8 open", or "All 8 covered"), plus a count of needs that are short on their orders, have excess, or need review.
SecuredSecured units against units needed, with tentative and awaiting units shown as a lighter fill.
AssignedUnits with anyone on them at all, secured or not.
ReceivedUnits that have physically arrived.

Need Columns

Inside a procurement, each row is one need, ordered by the procurement's own groups.

ColumnWhat it shows
NeedThe resource type. A component of a composite reads as its package, for example "53′ Semi › Driver".
GroupThe group the need sits in on its procurement. Hidden by default, because the group headings already show it.
CoverageThe coverage badge: Covered, Partially covered, Awaiting confirmation, Tentative or Not started.
ChangeNeeds review when something moved after someone was told, or when an order has an unsent revision. Select the chip to see what moved. Blank when nothing has changed.
SecuredA bar of secured units against units needed, with soft units (tentative and awaiting) shown lighter.
Filled byWho or what is on the need: a person's name, a unit such as "Penske #15", or "3 unnamed" for a held quantity. Hover the overflow count to see each filler with its status, and Needs review beside any filler whose details changed.
OrdersThe orders the need is on, each with the order's status and a marker when the order has an unsent revision.
Procurement statusWhether enough is on order: Needs Ordered, On Order, Short or Excess.
AssignedUnits with anyone on them, secured or not.
ReceivedUnits that have arrived, from receipts.
ReceiptsHow many receipts the need's units arrived on.

Columns can be hidden, reordered, filtered and grouped. Grouping by Coverage or Change is a quick way to see everything still Tentative or everything that needs review.

Coverage, Assigned and Received Are Different Questions

The three bars can disagree, and that is the point. Secured asks whether the units are promised. Assigned asks whether anyone is on them at all, so a need with five names penciled in is fully assigned but not secured. Received asks what turned up, independent of who is on it: a need can be fully received with nobody named, or fully assigned with nothing received yet. Procurement status is a fourth question, whether you bought enough.

The page shows Everything covered only when every need's coverage badge reads Covered. A show where every slot has an unconfirmed name is fully assigned, but it is not covered. While it shows, use the organization's Coverage page to review changes on this event's needs.

Composite Needs

A composite need, such as a truck package made of a tractor, a trailer and a driver, is covered through its components. One package counts as secured only when every component's share of it is secured, so a package with its truck confirmed and no driver is not secured.
