Reading and Tagging Mail on an Event's Communications Tab

How to read, search, and tag event email, preview attachments, and keep an attachment in the event's files from the event Communications tab.

The Communications tab inside an event is where the team reads the email filed to that event. Everyone who can see the tab reads the same history, so the answer to "what did the venue say?" no longer depends on whose inbox it went to. People with the event's Communications Read permission can view mail, and Contribute lets them tag messages and keep attachments.

Messages are listed newest first, grouped by date, and messages in the same conversation are grouped into a thread you can expand. Use Search communications to filter by subject, sender name, sender address, or the preview text. Selecting a message opens it on the right and marks it read.

Copy the Event Address

Select Copy event address at the top of the tab, then paste it into the Cc line of any thread you want captured. Anything sent to that address lands on this event without matching.

Tag a Message

Tags connect a message to the collaborators and areas it concerns, so it is easy to see later who was involved. Open a message and use Tag collaborators and Tag areas. Picking someone adds the tag and picking them again removes it. A message that BackOps matched through a contact already carries that person's collaborator tag. The This event tag marks where the message was filed and cannot be removed.

Preview an Attachment

Select Preview beside an attachment to view it in the browser before deciding whether to keep it. Previews are available for a short time after you open them, and inline images that are part of the message body cannot be previewed on their own.

Keep an Attachment to the Event's Files

Select Keep to drive

The button appears beside attachments that have not been kept yet.

Choose the drive and folder

The event's drive is selected by default, and the folder defaults to the drive root.

Confirm

The attachment is copied into the event's files and shows Saved to drive.

Attachments are staged for 90 days. After that the message is still readable, but the attachment shows Expired and can no longer be kept. Keep the files you need while they are available.
