Connecting a Microsoft 365 Mailbox to BackOps

How to connect, reconnect, and disconnect your Microsoft 365 mailbox so event email from your own inbox can flow into BackOps events.

Connecting a mailbox lets BackOps look at mail as it arrives in your Microsoft 365 inbox and file the messages that belong to your events. Without a connected mailbox, only mail sent to an event's own address reaches BackOps. This page covers connecting, reconnecting, and disconnecting. How BackOps decides where each message goes is explained in how mail is routed.

What to Know First

A connection belongs to you, not to your organization. Each person who wants their inbox considered connects their own mailbox, and nobody else can browse your inbox through BackOps. Only messages filed to an event are visible, and only to people who can see that event's Communications. Only Microsoft 365 is supported. BackOps reads nothing from the mailbox until you connect it, and a message that matches none of your events is discarded rather than stored.

Connect Your Mailbox

Open Communications

Select the mail icon in the top bar. The Communications window opens. You can also open Inbox from the left rail.

Select Connect O365 mailbox

The button sits at the bottom of the left panel, or in the middle of the Inbox page when no mailbox is connected.

Sign in with Microsoft

You are sent to Microsoft to sign in and approve access, then returned to BackOps while the connection finishes.

When the connection is active, the panel shows your email address with a Connected badge.

Some Microsoft 365 tenants require an administrator to approve access to applications first. If yours does, the connection reports that admin consent is needed and gives you a link to send to your tenant administrator. Once they approve, connect again.

Reconnect When Access Lapses

If Microsoft stops accepting the saved access, the mailbox shows a Reauthorize badge and mail stops flowing in. Select Reconnect and sign in again. Reconnecting refreshes access on the existing connection instead of adding a second one, so your folder mappings stay in place.

Disconnect Your Mailbox

Select Disconnect under your address in the left panel. BackOps stops reading mail from that mailbox, and its live inbox and folder mappings are no longer available until you connect again.
