Collaborator Types and Properties on an Event

How event admins set up collaborator types and properties on an event, copy them from the organization, and fill in values on each collaborator.

A venue and a catering vendor need different information on file. Collaborator types let each kind of collaborator carry its own fields, called properties: load-in dock and capacity for a venue, insurance status and service area for a vendor.

This page covers types and properties on one event. Your organization's own set, used by the Collaborator Database, is covered in configuring types and attributes. Both work the same way, except that archived event types and properties cannot be restored.

How Types and Properties Fit Together

A property is one field. Property kinds are text, rich text, number, date, date and time, checkbox, link, single select, multi select, single file, multiple files, and pickers for a collaborator or a crew member. A property's kind and its select options cannot be changed after it is created, so settle the options first.

A type has ordered sections, and each section places properties with a Required setting and a position. A collaborator can hold several types and shows a section for each.

Types also store Visible and Editable settings for each property. They are saved but not yet enforced. Anyone with Settings on a collaborator can fill in its values; only event admins can change its types.

Set Up Types on an Event

Open collaborator settings

Open Event Settings and select Collaborators. You need to be an event admin.

Create properties

On the Attributes tab, add the fields you need.

Create types

On the Types tab, select Add type. A new type starts with one section called Details.

Arrange each type

Open the type, add sections if needed, and place properties in them.

To reuse your organization's setup, open the Add type menu and choose Add from org library. The event gets an editable copy linked to the organization's type, with its sections and properties. A linked copy is what lets values travel when collaborators are pulled from or pushed to the organization; types and properties you create only on the event stay on the event.

Fill In a Collaborator's Values

Open the collaborator. Its details panel shows a section for each of its types. Set each value in place; a required property cannot be emptied once it has a value. Event admins change the collaborator's types from the same panel. Removing a type hides its fields but keeps the values, which come back if the type is assigned again.

Deleting Types and Properties

A type that any collaborator holds is archived instead of deleted, keeping its values, and can no longer be assigned. A property that any collaborator has a value for is archived the same way. Removing a section, or taking a property out of a section, keeps the values collaborators hold.
