Working with Areas
How to create areas on an event, use each area's dashboard, schedule, advance, resources, and files pages, download an area day sheet, and rename or delete an area.
Each area on an event has its own set of pages showing the work tied to that space. This page covers creating areas, what each area page shows, and how to rename, download, or delete an area. For what areas are and why to use them, see the Areas introduction.
Create an area
Open Manage Areas
Add an area
Name it
Creating areas needs the Add areas permission on the event. You become an admin of each area you create. New areas appear in the sidebar's Areas group, which lists the areas you can see.
An area's pages
Select an area in the sidebar to open it. Its pages are:
- Dashboard: the area's Agenda, one day at a time, and its Advances.
- Schedule: the event schedule, showing the activities in this area.
- Advance: the advances and modules for this area, with Add advance.
- Resources: the resources and procurement assigned to this area, with Add resource.
- Files: the area's own folder of files, such as floor plans and stage plots.
- Settings: rename or delete the area, for people with the area's Settings permission.
Download an area day sheet
The day sheet is a printable summary of everything happening in one area. Select Download PDF in the area's header. The PDF is titled with the area and event names, and includes:
- The area's schedule, with the date, time, and name of each activity.
- Every advance for the area, with its collaborator's contacts, the answers to its questions, and the resources it requests.
Hand it to whoever runs the space on the day, or send it to a vendor working that area.
Rename or delete an area
Open the area's Settings. Area name changes the name shown everywhere for the area, and saves as you type.
Delete area removes the area permanently and cannot be undone. Its files are deleted, it is taken off any activities that used it, and its permissions are removed. Advances that pointed at the area are kept, but no longer belong to an area. To delete several areas at once, select them on the Manage Areas list and delete them from the bar that appears.
Deleting needs the area's Delete permission. If you only want a different label, rename the area instead.
